Job Overview
We are seeking an Executive / Sales Assistant who will work closely with owner of the company to ensure seamless day-to-day operations. This is a hybrid EA role mixing classic executive support with structured sales and commercial coordination.
The successful candidate will help maximise productivity, keep critical projects and reporting on track, support client communication, and assist in preparing sales proposals, presentations, and follow-ups.
This role suits a polished, energetic doer who loves structure, pace, and making things run smoothly.
Key Responsibilities
- Manage and prioritise a complex calendar.
- Coordinate meetings, calls, and travel arrangements.
- Act as primary point of contact.
- Prepare meeting agendas, briefs, and follow-up actions.
- Track monthly reporting, key projects, and deadlines.
- Assist with sales proposals, tenders, pitch decks, client documents, and CRM updates.
- Support client, broker, and partner communications with timely, professional follow-up.
- Maintain structured filing, document management, and shared systems across businesses.
- Liaise across leadership teams and represent the company.
- Support expenses, invoice approvals, budget tracking, events, and process improvement.
Candidate Profile
- 3–5+ years’ experience in a Sales / Executive Role, ideally supporting a founder, MD, or senior leadership figure.
- Experience in a fast-paced environment — marine, luxury, logistics, or technical sectors a bonus but not essential.
- Strong proficiency in Microsoft Office Suite and/or Google Workspace (Excel skills essential.
- Excellent written and verbal communication skills; able to draft client-ready comms with minimal direction.
- Highly organised with a natural ability to prioritise, structure, and anticipate needs.
- Comfortable managing multiple business units simultaneously.
- Experience in sales, proposals, CRM, or client communication is strongly preferred.
- Confident, proactive, and able to work independently.
- Strong business judgement and commercial awareness.
- Fluent English; Spanish beneficial but not essential.
